Steps to Avoid Losing Your Speaking Slot

Take a look at the speaker’s line and find your place in it. Considering the number of speakers we have each week (3 per week, except 7 on the 3rd week of each month), estimate your approximate next speaking date and start planning your speech accordingly. As soon as you realize there may be a conflict, let the VPE know the date(s) for which you will be unavailable to attend.

If you should already be scheduled as a speaker within the next 4 weeks when you discover a conflict preventing you from being able to speak on your assigned date, follow this process:

  1. Contact the speakers assigned to the week prior and/or the week after using their individual email addresses (as opposed to the group email). This information can be found at the bottom of the weekly schedule email sent out by the VPE. See if any of these other speakers can switch places with you. If that fails, proceed to step 2.
  2. Contact any other assigned speaker on the schedule using their individual email addresses and see if any of them can switch places with you.
  3. Take a look at the speakers’ line found in the box at the bottom center of the published schedule.pdf file. Contact the first several individuals in line using their individual email addresses and see if any of them will swap places with you.
  4. If all this has failed, you’re going to have to go to the end of the line. At this point, please do not send out an email to the whole group just yet. Copy and paste the On the Spot Speakers email addresses from the weekly schedule email and ask one of them to sub for you. You will be giving up your slot at this point, but you will give those with a genuine desire to speak more frequently the opportunity to respond first. Give them some time to respond.
  5. No response? Go ahead and try the group email as a last resort.
Please keep the Toastmaster for the evening, as well as the VPE, informed of any changes as you go through these steps.
